For staffing & recruitment agencies

From requisition to invoice, in one system.

Most agencies run a CRM, a spreadsheet of availability, a timesheet portal and an accounts package that none of the others talk to. TaskBit runs the whole chain — and gives your client a portal instead of an email thread.

The problem

Four systems, one placement.

Every handoff between them is a re-keying job, a margin leak or a client chasing an invoice line nobody can explain.

The requisition

Arrives by email, lands in a spreadsheet, and the version the consultant works from is already out of date.

The talent pool

Availability and compliance live in someone’s head or a tab nobody else can read.

The timesheet

Chased on Monday, argued about on Tuesday, approved by Wednesday — if you are lucky.

The invoice

Rebuilt by hand from the timesheets, with the margin only visible after the fact.

Requisitions & placements

One board from vacancy to filled.

Take the client’s requirement once and work it through sourcing, submission, interview and placement. Every candidate carries their own compliance status, so you never submit someone whose DBS lapsed last month.

  • Client requisitions with rates, hours and cover requirements
  • Pipeline from sourced through submitted, interview and placed
  • Compliance visible on every candidate before submission
  • Placements become real shifts with real clock-ins
  • Fill rate and time-to-fill per client, measured not guessed

Margin & invoicing

Charge rate in, pay rate out, margin on the screen.

Because the hours come from clock-ins your client already approved, the invoice builds itself. Charge and pay rates sit on the placement, so margin is visible at the point you agree the rate — not discovered at month end.

  • Charge and pay rates held per placement
  • Invoices generated from client-approved hours
  • Uplifts for nights, weekends and overtime applied by rule
  • Margin per placement, per client and per period
  • VAT handled, and the whole thing exportable to your accounts package

Client portal

Give the client a login, not an email thread.

Your client sees their own cover, approves their own timesheets and downloads their own invoices — and nothing else. Client accounts are built from an allowlist, so an internal screen added next month can never appear in their portal by accident.

  • Live view of cover and open shifts for their sites
  • Timesheet approval by the person who was actually there
  • Compliance status of every worker placed with them
  • Invoice history and outstanding balance
  • Strictly scoped — one client can never see another

Also in the box

The workforce platform underneath.

An agency is still an employer. Everything TaskBit does for a direct employer applies to your own internal team and your placed workers.

Worker compliance

Right to work, DBS, licences and mandatory training tracked per worker, with expiry reminders before a placement is at risk.

Geofenced clock-in

Workers clock in on the client’s site, inside a geofence, from their own phone or a shared kiosk.

Pay the workers

Gross-to-net pay runs and payslips for PAYE workers, built from the same approved hours you invoiced.

Reach the pool

Broadcast an urgent shift to everyone qualified and available and let the first responder take it.

Client reporting

Fill rate, time to fill, spend and hours by client and site, exportable.

Vendor coordination

Sub-contract to a partner agency and keep their pool, availability and assignments visible.

A worked scenario

From client-approved hours straight to the invoice.

An agency placing 300 workers across 14 client sites, chasing timesheets by email and rebuilding every invoice by hand on a Friday. The scenario walks through what changes when the client approves the hours in their own portal — and shows where the 13 hours a week come from.

Agency questions

What agencies ask first.

Does this replace our CRM?

For the placement side, yes — requisitions, candidates, pipeline and placements live here. For heavy business-development pipeline management, many agencies keep their sales CRM and use TaskBit from the requisition onwards.

Can the client approve timesheets themselves?

That is the point of the client portal. The person who was on site approves the hours, and those approved hours are what the invoice is built from — which removes most invoice disputes before they start.

Do you handle both PAYE and umbrella workers?

TaskBit runs gross-to-net pay and payslips for workers you pay directly. For umbrella or self-billing arrangements, use the approved-hours export and your existing process. It is not an HMRC-recognised filer — see the payroll page.

Can one client see another client’s workers?

No. Client accounts are built from an explicit allowlist rather than by hiding menu items, and every request is scoped server-side. See security.

What about sub-contracting to partner agencies?

Vendors are first-class: a partner agency gets a coordinator view of their own worker pool, availability and assigned shifts, without seeing the rest of your business.
