Built for the sectors that run on shifts

One connected platform

Everything your team needs. Nothing they don’t.

Simple enough for a first-week starter on a phone. Deep enough to retire the spreadsheet, the group chat and the filing cabinet at once.

Rotas that practically write themselves

Copy last week, drop in templates, drag people around and let TaskBit flag the clashes before your team ever sees them.

Time tracking, minus the chasing

Geofenced clock-in from a phone, a shared kiosk or a QR code at the door — and timesheets that build themselves.

Pay built from the hours you approved

Approved timesheets become a pay run and a payslip PDF. No re-keying, no export-and-pray.

Scheduling

Build next week in the time it took to open the spreadsheet.

Copy the week, apply a template or drag shifts into place. Open shifts go out to everyone who is qualified and free, and the first person to claim one fills it — no phone tree, no "does anyone want Saturday?" in the group chat.

  • Day, week, month and timeline views
  • Templates for recurring patterns
  • Conflict flags for leave, availability and double-booking
  • Publish once — everyone gets a push notification

Time & attendance

Hours you can defend, captured where the work happens.

Staff clock in from the app inside a geofence, from a shared tablet with a PIN, or by scanning the shift QR code. Poor signal on site? The app queues the punch and syncs it when the phone reconnects.

  • GPS geofence per location, with the distance recorded
  • Kiosk mode for shared devices
  • Offline queue — no lost clock-ins
  • Reminders for late clock-ins and missed clock-outs

Timesheets → payroll

One approval, all the way through to the payslip.

Clock-ins become timesheets with break deduction and overtime already applied. Approve them, lock the period, and the pay run is built from exactly those hours — with the discrepancies surfaced before, not after.

  • Scheduled vs worked discrepancy flags
  • Configurable break, rounding and overtime rules
  • Weekly, bi-weekly or monthly pay cycles
  • Payslip PDFs in each employee’s own app

One smooth workflow

From open shift to payday, without the handoffs.

Each step feeds the next, so nobody re-types what someone else already entered.

01

Plan the week

Build the rota around demand, availability, skills and your labour budget.

02

Publish instantly

Everyone gets their shifts on their phone. Gaps go out as open shifts.

03

Capture the time

Geofenced clock-ins flow into timesheets that are ready to review.

04

Approve and pay

Approve once. The pay run, the payslips and the reports all follow.

For your frontline

The app your team will open without being asked.

Shifts, pay, leave, documents and messages in one place, protected by Face ID or a PIN. Staff answer their own questions instead of ringing the manager — which is where most of the week disappears.

  • See shifts, claim open ones, request swaps
  • Clock in and out with location proof
  • Book leave and watch the balance update
  • Read and e-sign documents on the phone
  • Download payslips without asking anyone

Rota for week 33 is published. Two open shifts on Saturday — first to claim gets them.

A worked scenario

Three venues, one rota, and Sunday back.

A hospitality group with 47 staff across two restaurants and a bar: a rota in a spreadsheet, cover negotiated in a group chat and hours typed up twice before they reached payroll. Here is what joining those steps up actually removes, task by task, with the hours shown.

Questions

The things people ask before they start.

How long does it take to get running?

Most teams publish their first rota the same day. Create the organisation, add your locations, invite the team by email or link, and start scheduling. Importing an existing staff list and setting up geofences takes an afternoon, not a project.

Do my staff need to install anything?

They can use the mobile app or just open TaskBit in a phone browser. For sites where people do not use their own phones, kiosk mode turns a shared tablet into a clock-in point with a PIN or QR code.

Is the payroll HMRC-recognised?

TaskBit calculates gross-to-net — PAYE, National Insurance, student loans, pension deductions and holiday pay — and produces payslip PDFs. It is not an HMRC-recognised filer: RTI submissions, P45s and P60s are handled by your payroll bureau or provider, and TaskBit gives them clean, approved figures. We say this plainly rather than let you find out in April.

What happens after the 14-day trial?

Nothing breaks and nothing is deleted. The organisation drops to the free Lite plan, and the features above that tier become read-only until you choose a plan.

Can we run more than one location?

Yes — locations, departments and vendors are first-class. Managers see only the locations they are responsible for, and reporting rolls up across all of them.

Where is our data stored?

In the UK/EU, encrypted in transit and at rest, with per-organisation isolation enforced on every request. See the security page for the detail.

Give your managers their week back.

Start free in under five minutes. Bring one location or all of them.
