Scheduling & rota

Build next week before your coffee goes cold.

Copy the last one, apply a template, drag people into place. TaskBit flags the clashes, fills the gaps and puts the finished rota on every phone the moment you publish.

The rota board

A week you can read at a glance.

Day, week, month and timeline views over one location or all of them. Costs update as you build, so you find out you are over budget while you can still do something about it — not when payroll runs.

  • Copy last week or a saved template in one action
  • Drag and drop assignment, with cost updating live
  • Conflict flags for leave, availability and double-booking
  • Filter by skill, so only qualified people can take a post
  • Publish once — everyone affected gets a push notification

Capabilities

What the scheduler covers.

The parts that usually live in a spreadsheet, a group chat and someone’s memory.

Templates & patterns

Save a typical week — or a four-week rotating pattern — and apply it to any location and date range.

Copy week

Duplicate a whole week forward, keeping assignments, shift types and breaks intact.

Open shifts

Publish a gap to everyone qualified and free. The first to claim it fills it, and the rota updates for everyone.

Swaps & cover

Staff arrange cover between themselves; the manager approves or declines from one queue.

Conflict detection

Approved leave, declared unavailability, double-booking and expired mandatory qualifications all raise a flag before publishing.

Labour cost

Live cost per day and per week against the budget for that location.

On the frontline

Nobody has to ask what they are doing on Thursday.

The moment you publish, everyone sees their own shifts on their phone, with location, role, start time and break already attached. Changes push through the same way, so the wall planner never disagrees with the app.

  • Personal shift list with location and role
  • Claim open shifts and request swaps from the phone
  • Declare availability and unavailability in advance
  • Optional: hide colleagues’ shift labels from staff views

Questions

What people ask about this.

How long does building a week actually take?

For a repeating operation, seconds — copy the previous week or apply a template, then adjust for leave. For a week you are building from scratch, the drag-and-drop board with live costing is usually faster than the spreadsheet it replaces.

Can different sites have different rotas?

Yes. Locations are first-class: each has its own rota, shift types, geofence and budget, and a manager only sees the locations they are responsible for.

What stops someone being scheduled when they are on holiday?

A conflict flag on the rota board before you publish. Approved leave, declared unavailability and double-booking are all caught, and expired mandatory qualifications can optionally block assignment entirely.

Do staff get told when the rota changes?

Yes — publishing sends a push notification to everyone affected, and the change is visible in their shift list immediately.
